Text fragments: efficient help for document creation

If you use dStyle intelligently, on average about 90 percent of the typing is done automatically for you. I beg your pardon? Are we gonna hire Hans Klok or something? No, the secret is in the Text Fragments feature. A digital cabinet full of standardized texts to choose from. One mouse click and you have added one or more perfect paragraphs or documents.

How's that going?

You work in Microsoft Word that is enriched with dStyle. You choose New document, for example, to create a letter of appointment for a new employee. In the compact menu of dStyle, which you see at the top of the toolbar, you choose Text. A panel will appear on the left side of your screen with an overview of all relevant text fragments at your disposal. These can be one or a few paragraphs, but also complete documents, images, tables.

Composing a document

Via a dialog box you fill in the variables - number of working hours, salary class, etc. - and with your choices of text fragments the document is composed. The function also has a search line, so that you can quickly find the right text fragment by filling in a keyword.

Tailor-made

These standardized texts are tailored to the company and the department where you work. They are written by colleagues who have been appointed for this purpose. They take care of these company texts.

Personal texts

You also have the possibility to compose personal text fragments, for example to close an e-mail message, and add them to your library. Do that the way you just create a Word document. When saving that text, you can group it under Personal text fragments. The company and personal text fragments are ready for you on every computer you log in to.

Create Templates

But this isn't all. The biggest profit is made when you use Templates with content. These are in the same panel as Text fragments. If you choose, not only the document you create, but also other relevant pieces will be added. In the example of that appointment letter: you automatically add the contract of employment, the collective labour agreement, the personnel handbook and what else the creators of Text Fragments find important to send to the new employee.

Exclude risks

Why would you use this feature?
First of all, of course, because of the enormous time savings you can achieve with it.
Furthermore: you no longer need to cut and paste from previous documents. There are risks involved. Don't take privacy-sensitive information from the previous document? Have you opened the latest version? Do you use the right design? Can you find the previous document quickly?

The correct text

By choosing Text fragments, you always know that you have the right text. If something changes in that text throughout the organisation, you will immediately have the modified version at your disposal.
And: working with Text fragments is as easy as creating a Word document. You also save it as a .docx file. dStyle makes sure it's perfectly designed: the right font and size, the right logo, the precise margins... You don't have to worry about that anymore.
