Working Manually on Documents? This is where it pinches.

Manual work on documents? This is where it pinches.

It is common knowledge that you can make production processes in factories much more efficient by means of standardisation. The fact that companies can use a similar approach to work more effectively on business documents, on the other hand, is less well known. We'll tell you where it hurts when you work on documents manually and how software makes a difference.

A company that deploys the right software to make it easier to work on documents not only saves a lot of time and money, but also prevents errors from creeping into documents and causing reputational damage, for example. Good document creation software is the key to increasing your Return On Investment (ROI). In the absence of this software, there are three aspects that not only complicate the work, but also make it unnecessarily intensive: the manual creation of new documents, their completion and unnecessary steps taken in this process.

Manual creation of documents

Drawing up documents manually, i.e. without automating their building blocks, is laborious. Think, for example, of a letter or quotation that must be provided with a signature, general terms and conditions and KVK number. That takes a lot of time. Not only do you have to collect everything, you also have to keep a close eye on the quality of the whole and the requirements of legislation and regulations. If you automate all of the above, these burdens will disappear.

Finishing documents

Then you spend time completing a document. You start, but often you don't finish the job all at once. Can you find the right version next time? Often you have to involve colleagues because you need to discuss the different sections you want to add to the file.

Unnecessary steps

What's more, you lose time by taking unnecessary steps. They creep in because there are so many variables you have to take into account. There are five variants of a document, which one is the right one? Does HR have to look at it again because the contract drawn up does not meet the requirements of the collective labour agreement? Sometimes the payroll administration rejects half of the contracts for this reason and then has to look at them again. And: do you trust the work of the department or do you still need to involve a lawyer?

A lawyer is also regularly used as an extra controller. Does the summons meet the procedural requirements? It is particularly unfortunate if the arguments - although valid - do not count during the hearing because the summons does not meet these requirements. This check can also be done by someone else when you are using software that takes all parts of a subpoena into account. In this way, the lawyer can do what he or she is paid to do: make a strong plea. That saves on costs.

dStyle and dStyleDMS as a solution

With the software solutions dStyle and dStyleDMS, about which you can read more on our website, you can avoid the above problems. This way, you can significantly increase your Return On Investment (ROI). How much? We are happy to calculate that for you. Our experience shows that the investment in our software solution is often earned back within a month. Here's an example: if four hundred people in your organization spend two hours a month drawing up contracts, this will cost you eight hundred hours in labor costs. When you reduce this time to five minutes, it goes fast. You can do that with dStyle because automation means you have all the building blocks for documents ready and can skip review steps. Think of the Discovery television show where you see how fast a car rolls down the assembly line. It can be the same with document creation.
